Electronic doctoral dissertations

On 30 October 1997, the Conference of Education Ministers expanded the principles for publishing doctoral dissertations to include the possibility of submission in electronic form. The legal framework for changing local doctoral degree regulations is thereby given.

Basic problems of legal (copyright, examination regulations) and technical nature (formats, archiving) in processing electronic doctoral dissertations were dealt with in the context of the DFG project “Dissertations Online” in the five subject societies Educational Sciences, Chemistry, Physics, Mathematics, and Computer Sciences, among other projects.

Submitting electronic doctoral dissertations at the University of Hohenheim

At the University of Hohenheim, all three faculties offer the possibility to submit doctoral theses in electronic form. The doctoral degree regulations require the candidate to publish the dissertation and submit printed copies (Faculty A: 6 copies, Faculty N: 4 copies, Faculty W: 5 copies) and one electronic copy.

Submission

The file is to be uploaded using an html form (see below) to the University’s document server. The form can be called up from all computers within and external to the campus network.

First, you must obtain a licence for your publication which precisely regulates the terms of use of your work (on this, please take note of our page “Licence module“ and “Tips on copyright“!).

In order to have good search possibilities later, you should give some descriptive information about the document on the form (author, title, keywords, abstract, etc.).

After the file has been copied, a publication contract will be generated automatically depending on your selected licence. In addition, you must ensure that the electronic form and the original version approved by the supervisor are the same in form and content. The declaration must be printed by the doctoral candidate, signed, and brought together with the printed copies to the KIM Library.

Please note the following points:

Data formatThe electronic form must be a PDF format (portable document format). Please merge your files into one PDF. It is no longer necessary to include the file in its original format.
NumberPlease send your document as one file.
Naming the fileIn the file name, there should be no umlauts or spaces. Instead, you can use underscores_ (e.g. Diss_Max_Mustermann.pdf). Ideally, you should orient the name on the ISO 9660 name convention (file name with max. 8 characters, all file names may only contain the letters A to Z with no accents, numbers 0 to 9, as well as underscores).
ReleaseAfter the advisor has released the work with a declaration of conformity (Übereinstimmungserklärung), the PDF copy of the dissertation will be published online.
Printed copiesIn addition to the pdf file, printed copies (Faculty A: 6 copies, Faculty N: 4 copies, Faculty W: 5 copies) of the dissertation must be submitted to the KIM library (if possible in the format DIN A5, double-sided, no ring binding).
