Formal formatting of the document
The formal formatting of an electronic document is highly dependent on the word-processing programme used and the formal and aesthetic desires of the author or his/her subject area. Due to the resulting complexity, only some information is available on this topic.
The Freiburg University Library created a tutorial on electronic publication which is particularly well-suited to Windows users.
Creating a pdf file
In the following, only the technical preparation of the document is described in regards to the format in which it is to be published on OPUS Hohenheim.
1. Direct creation of a pdf file using Adobe Acrobat
The most comprehensive tool for directly creating and editing pdf files is Adobe Acrobat with the programme modules Acrobat Writer and Acrobat Distiller (not to be confused with the free Acrobat Reader for reading and printing pdf files). The Adobe software may be used in the context of a campus licence from the KIM Hohenheim IT services.
Adobe Acrobat offers a series of security preferences for a pdf file. Since the goals is for users to be able to conduct regular scientific work with electronic publications offered on OPUS Hohenheim, not all security options will be accepted. A user must be able to print parts of the work. You may therefore not select the option “no printing allowed”.
2. Direct creation of a pdf from the OpenOffice programmes
OpenOffice applications can export documents as pdfs. Since OpenOffice can also import Word documents, for example, you can also save a Word document as a pdf using OpenOffice. The formatting and layout should be double checked after the import, however.
